Invoice follow-up email scripts for freelancers (D+3 / D+7 / D+14)

The invoice went out on time. The due date passed. You told yourself you would “nudge them after this deadline.” Two weeks later the balance is still open—and you feel more awkward than they do. That pattern is not a personality flaw. It is a missing script plus a missing next chase date.

This guide gives you practical invoice follow-up email scripts for freelancers: friendly at D+3, clearer at D+7, boundary-setting at D+14, and an optional D+30 close-the-loop. Then it shows how to park each next date on a Notion overdue invoice / follow-ups desk so the chase is a list item—not a mood. Notion does not send the email; you paste from your own inbox on purpose.

Tone rules before you copy anything

Invoice chase is not the same as a proposal nudge. Mixing tones is how you sound needy on a warm deal—or soft when cash is late. Keep invoice language short, specific, and free of guilt.

  • Lead with facts: invoice number, amount, original due date, payment link.
  • Assume chaos, not malice on the first two touches. Busy finance teams miss threads.
  • One ask per email. Do not re-pitch your work or attach a new proposal.
  • Write the boundary once (pause new work after D+14) so you are not inventing policy under stress.
  • Never apologize for asking to be paid. Polite ≠ small.

For the broader habit that keeps proposals and invoices on the same clients, see the client follow up tracker guide.

When the ladder starts

Count from the due date, not the send date. If Net-14 is May 1, D+3 means May 4. The moment you mark Status = Sent, also set Next chase date to the due date (or D+3 if you prefer a softer first touch after the due date). That single field is what keeps cash collection from competing with delivery work.

Pair these scripts with the field list in the Notion overdue invoice tracker post: Invoice #, Amount, Status, Due date, Overdue, Days overdue, Next chase date.

D+3 — polite landing check

Goal: confirm the invoice arrived and give an easy path to pay or ask a question. Tone: friendly, not firm.

Subject: Checking on invoice #[Invoice #] ([Amount]) — due [Due date]

Hi [Name], just a quick check that invoice #[Invoice #] for [Amount] (due [Due date]) landed with the right person. Payment link: [link]. Happy to resend the PDF or update PO / billing details if anything changed. Thanks—

After you send: mark the Follow-up Done, create the next row for D+7 (or update Next chase date on the invoice). Do not wait for inspiration.

D+7 — clearer ask, still short

Goal: get a payment date or a blocker named. Tone: firm, calm, still human.

Subject: Follow-up: invoice #[Invoice #] is [X] days past due

Hi [Name], circling back on invoice #[Invoice #] for [Amount], originally due [Due date]. Could you confirm when payment is scheduled, or let me know if AP needs anything else from me? Same link: [link]. Appreciate the update—

If they reply with “next Friday,” put that date on Next chase date and stop chasing until then. Scripts only work when you honor their calendar too.

D+14 — boundary + pause new work

Goal: protect your time. Tone: clear, not dramatic. State the policy once; do not threaten what you will not do.

Subject: Invoice #[Invoice #] — next steps

Hi [Name], invoice #[Invoice #] for [Amount] is now [X] days past due (due [Due date]). Please arrange payment via [link] this week, or reply with a firm payment date I can put on file. Until this is cleared or we agree a plan, I will pause new work and hold any open start dates. Happy to jump on a short call if that helps unblock AP.

Update Client Health to Amber or Red. If you have a Deal in Negotiation with the same company, note the open balance on the client record so you do not start unpaid scope by accident.

Optional D+30 — close the loop

Use this when silence continues after D+14 and you need a paper trail for yourself (and, if needed, a collections conversation later). Tone: final, factual.

Subject: Final notice on invoice #[Invoice #]

Hi [Name], this is a final note on invoice #[Invoice #] for [Amount], due [Due date] and still unpaid. Please remit via [link] or reply with written confirmation of payment timing by [date]. If I do not hear back, I will mark the account on hold and escalate through the channels available for overdue invoices. I prefer to resolve this directly—thank you for treating it as priority.

Mark Status Partial/Void/Paid as reality dictates. If you escalate outside email, keep the Notion row as the source of truth for dates and amounts—not your memory of the thread.

How to track next chase date in Notion

A script without a due date becomes another screenshot in Notes. Keep invoice chase as Type = Invoice chase in the same Follow-ups database you use for proposals (see the client follow up tracker). Minimum fields:

  • → Client (+ Invoice relation if you have one)
  • Type = Invoice chase
  • Cadence = D+3 / D+7 / D+14 / D+30
  • Due date = next send day
  • Status = Open / Done / Skipped
  • Script snippet = the paste text for that step

On the invoice itself, keep Next chase date in sync so an Overdue view can sort by who to touch first. Morning workflow: open Follow up today → send one or two chases → set the next Due date before you close the laptop. That is the whole system.

Field ceilings and what to cut live in simple Notion CRM fields. Do not add “emotion score” properties. Clarity beats decoration.

Subject lines that get opened

  • Checking on invoice #[#] ([Amount]) — due [date]
  • Follow-up: invoice #[#] is [X] days past due
  • Invoice #[#] — next steps
  • Payment timing for [#] / [Project name]?

Avoid “Just bumping this!” and “Friendly reminder 😊” as the entire subject. Specific beats cute.

Common mistakes

  • Waiting until you feel brave. Bravery is a bad scheduler. Dates are better.
  • Writing a novel. If AP needs a PO number, ask for it in one line—do not restate the whole SOW.
  • Chasing while starting new unpaid work for the same client. Link invoices to the client record.
  • Expecting Notion to email for you. Templates track; you send. That honesty is a feature.
